Services to Faculty Assistants

Welcome to our list of services of particular interest to GSB faculty assistants. We hope the services described below can assist you in assisting your professors.

Course Reserves

Detailed instructions for submitting reserve material lists are sent to all faculty each quarter by the Reserves Coordinator. In addition, a copy of the Reserve Reading Material form is available to make it easier to submit an electronic copy of the list to the Library. Once you have filled out the form, we recommend you retain an electronic copy.

All reprints and past exams need to be delivered to Jackson in shelf-ready form (i.e. each copy in its own labeled binder or folder). Due to copyright constraints, Jackson cannot make additional copies of any Reserves material; furthermore, all copyright clearances must be obtained before delivering material to Reserves.

Access Services/ Circulation

Jackson Library is open to both the Stanford community and the general public. Special privileges are available to colleagues of GSB faculty; to secure such privileges, send an e-mail to Access Services stating the guest's name, sponsoring faculty and desired start/ end dates for access.

Faculty assistants can check out material for their faculty by proxy. Just inform the Access Services desk that an item is being checked out in a professor's name.

Case Studies

When submitting case studies for publication by the GSB, faculty assistants should ensure that the following two forms are completely filled out and submitted to Jiranee Tongudai, Case Production Coordinator, Room S-390.

  1. Company case study release. This completed form must be signed by an authorized representative of any company described
  2. Faculty case study release. This completed form must be signed by the authorizing faculty member issuing the case

Research Papers

To submit a paper to the GSB Research Paper Series:

  1. Contact Harjeet Heer to request a paper number.
  2. Complete, sign, and submit the Faculty release form .
  3. If you wish a PDF sent to selected GSB colleagues, complete and submit the Faculty distribution list and/ or PhD list .
  4. E-mail or ID mail items 2 & 3 plus a PDF or Word version of the paper to Harjeet Heer, S216.

NOTE: All papers in the GSB series are submitted to SSRN, AWPE, and Business Source Complete.

Document Delivery

To request material for your faculty member, submit requests to Document Delivery at Document_Delivery@gsb, or via our Web form. Take a moment to review the description of this free service and be aware of its policies before ordering. For Harvard, Darden or Ivey case studies, call 3-1848.

Borrowing from other campus libraries may require additional time to set up borrowing accounts for new users.

Current Awareness Service

This free service allows GSB faculty to stay abreast of new articles in their field by automatically receiving electronic tables of contents of journals. Professors can set up their own journal profile, or have the Library do it. Individual articles can be electronically ordered by the professor from the contents pages, and delivered via Document Delivery.

Research Services

The Information Desk in the center of Jackson Library can help faculty assistants in finding information when they're in the Library itself. Otherwise, feel free to submit research requests electronically to Ask A Librarian.

Resources available to you at Stanford:

  1. Multidisciplinary databases. Stanford University databases offers dozens of files ranging across a broad spectrum of disciplines. Social science data/ research is also available at the Social Sciences Data Service.
  2. Business databases. Our GSB collection of business databases is available under Research Databases. These include full-text business literature indexes like Factiva, and financial data files like Thomson Research and Compustat.
  3. Business Websites. Faculty assistants may find national directories of faculty and universities useful; these are found under 'Education' at our Business Web Sites page.
  4. Financial markets databases. Jackson hosts a number of powerful financial tools in the Trader's Pit at the back of the Library. These include Bloomberg, Datastream; more information is available on our Trader's Pit page.
  5. EndNote. GSB faculty can request EndNote from GSB Information Resources, but they may have to pay for the license from their research funds. Faculty who desire an EndNote license may open a service ticket at helpsu.stanford.edu. Instructions on using EndNote are available at a Stanford page of instructions.

Videotaping Release

The GSB must obtain a signed Shared Copyright Release for Freely Distributed A/ V Recordings or Release for A/ V Recordings to be Offered for Sale from all guest speakers who agree to be videotaped in the classroom. This enables the School to archive the video and make it available for use in future classes. Faculty assistants are responsible for completing the form for their professors. GSB policy requires that you submit the signed and completed form, no exceptions. Note the following steps:

  1. If the speaker accepts an invitation and the faculty member desires to tape the session, please send a letter with the official form to the speaker requesting agreement to be videotaped in the classroom. This letter can also include directions to the School and a guest parking permit.
  2. Contact GSB Media Services well in advance to request videotaping of the session.
  3. Monitor your request. If you do not receive the signed form within a reasonable time, you might contact the speaker and ascertain whether he/ she accepts videotaping. If the speaker does not,inform your faculty member that there will be no videotaping of the session.
  4. If as the class approaches you have not received the signed form or a response from the speaker, inform your professor. Again, videotaping cannot take place unless the official form has been signed and submitted.
  5. The signed and completed form should be delivered to GSB News and Publications (GSB S-166). The form and the resulting videotape will be archived in Jackson Library.
